JOB DESCRIPTION - LOGISTICIAN ASSISTANT
Vacancy Announcement from Save The Children
Position: Field Logistics Officer
Location: Based in Phebe, Bong County, and expected to travel around the country
Deadline: Friday, October 14, 2011 at 4:00PM
Main Duties
 Support and ensure functioning supply chain from Procurement to delivery of supplies in the field, ensuring timely and cost effective transportation and distribution;
 Timely and effective procurement of local supplies with an emphasis on competitive purchase price and quality materials against the need for a defined lead time;
 Liaise with the Field/Finance Officer to cross reference supplier’s invoice against submitted order;
 Cross-check Purchase Requests, Purchase Orders and Way Bills/Delivery Notes for any discrepancies;
 Verify the quality, description and the quantity of goods ordered and inform the programme staff of the request status;
 Ensure a good filing system of all procurement documents;
 Coordinate and supervise the Drivers, including making sure there are vehicles available when required (Travel board, weekly planning/booking of transport requirements), completing log books (mileage, fuel purchases, and consumption);
 Arrange for vehicle maintenance when required, and ensure vehicles are road worthy on a daily basis;
 Identify suitable mechanic for vehicle maintenance at field level;
 Ensure the maintenance of all assets e.g. computers, printers, generators and telecommunications;
 Ensure safe conditions of office and housing buildings, including proper electrics, adequate water supplies, bathrooms, roofing, plumbing, compound hygiene (including waste management);
 Ensure reliable communication systems and procedures appropriate to the security context and project activities;
 Facilitate the evacuation of field-based teams as and when appropriate;
 Work closely with Logs Assistant as well as Monrovia logistics office;
 Weekly work progress reports to be sent to the Field Manager, monthly written reports on fuel consumption, warehouse report, procurement tracking sheet, security update and spare parts and maintenance running costs of equipment to be prepared for Monrovia Logistics Office;
